Practical Placement

 

Thank you for your interest in hosting a Kangan Institute  student for practical placement. Your partnership plays a vital role in preparing our students for successful careers and ensuring that our training programs reflect current industry needs.

By mentoring a student, you are helping them develop the skills, confidence, and professional behaviours they need to transition into the workforce. Your support also provides your team with opportunities to build leadership, coaching, and supervision skills, while identifying potential future employees and promoting your organisation as a leader within your industry.

Kangan Institute greatly values the time and effort you invest in supporting our students. Your feedback and insights as industry professionals are essential to shaping and improving the quality of our programs and placements.

The information below outlines the general process of hosting students on placement.

More specific details relevant to your industry or qualification will be provided once a Placement Agreement has been established.

What is Practical Placement?

Practical placement provides students with the opportunity to gain hands-on training and real workplace experience as part of their qualification.

Students are matched with approved host organisations where they can:

·       Apply theory and classroom learning to real work environments

·       Develop technical and interpersonal skills under supervision

·       Prepare for employment through exposure to workplace expectations

·       Contribute meaningfully to host organisation projects or tasks

Placements are structured, supervised, and assessed learning experiences that help students become work-ready by the time they complete their course.

Initial Steps

At Kangan Institute, we take great care in establishing and maintaining strong, supportive partnerships with host organisations. Our Placement Team ensures that all hosts have a clear understanding of their role, the expectations of students, and Kangan Institute’s responsibilities throughout the placement process.

Once you express interest in hosting a student:

1.      A Placement Coordinator will contact you to discuss placement requirements, student learning outcomes, and the type of experience you can offer.

2.      We’ll confirm that your organisation has the appropriate environment, supervision, and resources to support a student on placement.

3.      We’ll outline any compliance, safety, or documentation requirements before the placement begins.

4.      Your Placement Coordinator will be your main point of contact for the duration of the partnership.

Placement Agreements

Before any placement can occur, all host organisations must complete and sign a Placement Agreement.

This formal contract outlines:

·       The roles and responsibilities of the host organisation, Kangan Institute, and the student

·       Insurance coverage

·       Supervision expectations

·       Assessment and feedback processes

Different agreement templates may apply depending on the course or host arrangement. Your Placement Coordinator will ensure the correct agreement is prepared and guide you through completion.

Students are also required to complete a Student Undertaking Form acknowledging their responsibilities during placement.

Work Health & Safety

As part of our quality assurance process, all host organisations are required to complete a Work, Health & Safety Check when entering into a Placement Agreement.

This ensures that:

·       Work Health and Safety (WHS) standards are met

·       Students will be supervised in a safe and supportive environment

Site visits may be conducted by Placement Coordinators to verify workplace suitability or to provide support once placement is underway.

Compliance Requirements

Before commencing placement, all students must complete course-specific pre-placement compliance requirements. These vary by qualification and industry but may include:

·       Working with Children Check

·       National Police Check

·       NDIS Worker Screening Check

·       Immunisation requirements per  the recommendations in the publication Vaccination for healthcare workers published by the Victorian Department of Health.

·       Completion of mandatory online or in-class training modules

No student will be placed until all compliance requirements have been met and verified.

If your organisation has additional requirements (e.g. induction modules, uniform policy, or confidentiality agreements), your Placement Coordinator will ensure students are informed before starting.

Establishing Placements

Placement Coordinators are responsible for arranging and coordinating placements, ensuring that host organisations are appropriately matched to the course requirements and student skill levels.

Students may occasionally source their own placement, but this must first be approved by an Industry Placement Coordinator to ensure it meets educational and compliance standards. Students enrolled into health courses are not permitted to source their own placement.

InPlace

InPlace is Kangan Institute’s online placement management system. It provides a streamlined platform for managing all aspects of student placements across our campuses.

InPlace enables:

·       Students to submit placement preferences and compliance documents

·       Host organisations to review placement requests, confirm placements, and access agreements

·       Kangan Institute staff to track, manage, and communicate placement details

As part of the VicTAFE Network, InPlace is widely used across Victorian TAFEs to ensure consistency, transparency, and efficiency in placement management.

Your Industry Placement Coordinator will provide user guidance if your organisation is required to interact with InPlace.

Kangan Institute’s dedicated InPlace Support Team is available to students, and staff using the system.

Attendance and Hours

Students must complete a stipulated number of placement hours as specified by their course (e.g. 200, 400, etc.).

Placement hours generally follow standard workplace patterns (e.g. up to ~38 hours/week) but may be adapted depending on course and industry. Typically, placements run for up to 7.5/8 hours per day (excluding meal breaks).

Because placement hours are a mandatory component of vocational qualifications, any missed time (due to illness, public holidays, etc.) must be made up to ensure course requirements are met.

Placement Coordinators will work with hosts and students to schedule make-up hours as required.

Preparing Students for Placement

Kangan Institute is committed to ensuring students are fully prepared before attending placement.

Through orientation sessions, classroom activities, and placement readiness workshops, students learn about:

·       Professional behaviour and communication

·       Workplace rights and responsibilities

·       Health, safety, and emergency procedures

·       Dress codes and presentation standards

·       Attendance expectations and reporting

·       Reflection, journaling, and assessment requirements

Teaching and Careers staff collaborate closely with the Placement Team to prepare students for success, ensuring they understand the importance of professionalism, punctuality, and confidentiality in the workplace.

Placement Orientation/ Induction

We ask that all host organisations conduct an induction for students before or on their first day of placement.

An induction helps students feel comfortable and ensures they are aware of key workplace information, including:

·       Work health and safety procedures

·       Emergency and evacuation processes

·       Confidentiality, privacy, and professional boundaries

·       Daily routines, supervision arrangements, and reporting lines

A thorough induction sets the tone for a safe, positive, and productive placement experience.

Workplace Assessment Visits

All students completing practical placement are assessed by a qualified Kangan Institute assessor or placement supervisor.

These assessors:

·       Conduct workplace visits or check-ins (in person or virtually)

·       Observe student performance against course outcomes

·       Discuss progress with the student and host supervisor

·       Provide feedback and support as needed

In some courses, an approved on-site assessor may undertake assessments under Kangan Institute’s validation and quality framework.

Placement and Employment Opportunities

Kangan Institute students are highly regarded by industry partners, and many go on to gain employment at their placement organisation, either during their studies (where permitted) or after completion.

Codes of Conduct

Students are expected to always uphold both the Kangan Institute Student Code of Conduct and the host organisation’s workplace Code of Conduct.

This includes maintaining:

·       Professional behaviour and communication

·       Punctuality and reliability

·       Respect for confidentiality and privacy

·       Adherence to workplace policies and procedures

Any concerns regarding student behaviour or performance should be reported promptly to the Placement Coordinator so that issues can be managed collaboratively and constructively.
